Terms and Conditions

The following booking conditions form the basis of your contract with Roof of the World Travel. Please read them carefully before making a reservation.


1. Contract

By confirming your booking with us, we assume that you have read, understood, and agreed to these terms and conditions. All references in these booking conditions to “vacation,” “booking,” “reservation,” “contract,” “package,” “tour,” or “arrangements” refer to your travel plans with Roof of the World Travel unless otherwise stated.

You can make a booking via email, telephone, our website, or in person. Once we receive your booking request and deposit, we will confirm your reservation by issuing a confirmation email, which will be sent to the lead traveler (the person who made the booking).

Important: It is your responsibility to review all details on the confirmation and notify us immediately of any errors or discrepancies. We cannot be held liable for incorrect information if you fail to inform us within 10 days of receiving your confirmation.


2. Payment

To secure your booking, a non-refundable deposit of USD 500 per person must be paid. No contract exists until we have received this deposit and issued a confirmation invoice.

  • The remaining balance must be paid at least 30 days prior to departure.
  • If booking within 30 days of departure, full payment is required at the time of booking unless an alternative arrangement is agreed upon.
  • Failure to pay the balance on time may result in the cancellation of your booking, with cancellation charges applicable as per Section 3 below.

We accept payments via:

  • Bank transfer
  • Cash (for in-person bookings only)

Important: Any bank charges or transaction fees are the responsibility of the client.


3. Cancellation Policy

We understand that sometimes plans change. However, due to the nature of adventure travel, we must apply the following cancellation policy:

If you cancel your booking:

  • More than 30 days before departure: Loss of deposit ($500)
  • 15–29 days before departure: 50% of total tour cost
  • 14 or fewer days before departure: 100% of total tour cost

All cancellations must be submitted in writing by the person who made the booking.

Important Notes:

  • No refunds will be given for unused portions of the tour once it has started.
  • If you choose to leave the tour early or make any voluntary changes, any additional expenses incurred will be your responsibility.
  • If a cancellation is due to medical reasons, we recommend that you check with your travel insurance provider for reimbursement (see Section 5).

4. Cancellation by Us

Roof of the World Travel reserves the right to cancel a tour under the following circumstances:

  • Failure to make full payment by the due date
  • Unforeseen events such as natural disasters, political instability, war, pandemics, terrorism, or other force majeure events

If we cancel your tour, you will be given the choice of:

  1. Transferring all amounts paid to an alternative departure date
  2. Receiving a full refund of all monies paid

We regret that we cannot cover additional expenses such as non-refundable flights, visas, vaccinations, or other costs incurred due to tour cancellation.


5. Travel Insurance (Mandatory)

Roof of the World Travel is not responsible for:

  • Flight or train delays/cancellations
  • Visa issues caused by embassies or consulates
  • Inaccessible attractions due to government actions
  • Loss or theft of personal belongings
  • Medical emergencies, injury, or illness

To protect yourself, travel insurance is mandatory for all travelers.

Your policy should cover:

  • Medical expenses & emergency evacuation
  • Trip cancellation/interruption
  • Repatriation in case of serious illness/injury
  • Lost or stolen belongings

Important: If you become ill during the trip, all hospital expenses, doctor’s fees, and repatriation costs are your responsibility. Roof of the World Travel is not liable for refunds due to medical emergencies.


6. Changes to Itinerary

While we strive to operate all tours as planned, unforeseen circumstances may require itinerary modifications.

Before Departure:

  • If we must make a major change (affecting at least 20% of the itinerary), you will be notified as soon as possible.
  • You may accept the change or choose an alternative tour.

After Departure:

  • If changes occur due to weather, political events, or road conditions, alternative arrangements will be made.
  • Additional costs due to these changes must be covered by the traveler.
  • Roof of the World Travel is not responsible for incidental expenses such as non-refundable flights, visas, or vaccinations.

7. Medical & Physical Conditions

Adventure travel in Tajikistan, especially in the Pamir Mountains, requires a reasonable level of fitness.

  • You must disclose any pre-existing medical conditions before booking.
  • If our guides determine that you are unable to continue safely, we reserve the right to exclude you from the tour. No refunds will be issued in such cases.

8. Special Requests

If you have dietary requirements, medical needs, or other special requests, please notify us at the time of booking.

  • We will do our best to accommodate requests, but cannot guarantee availability (e.g., vegetarian meals in remote villages).
  • Requests for private rooms or vehicle upgrades are subject to availability and additional costs.

9. Adventure Travel Disclaimer

Tajikistan is a remote and rugged travel destination. By booking with us, you acknowledge the following:

  • Surprises are the norm – despite careful planning, last-minute changes may occur.
  • Road travel is unpredictable – expect delays, poor road conditions, and occasional vehicle breakdowns.
  • Medical facilities are limited – emergency services are scarce in remote areas, and evacuation may be required.
  • Weather can be extreme – sudden snowstorms, landslides, or river crossings may impact your itinerary.

Important:

Roof of the World Travel is not responsible for delays, discomfort, or changes caused by unpredictable circumstances. By booking this tour, you accept the inherent risks of adventure travel.


10. Responsibility & Liability Waiver

By booking a tour with Roof of the World Travel, you acknowledge and agree that:

  • You participate at your own risk and assume full responsibility for your safety.
  • You will follow safety instructions provided by guides and drivers.
  • We are not liable for injury, illness, loss, damage, or any expenses arising from participation in the tour.

Final Notes:

Review your travel insurance policy before booking
Carry essential emergency supplies (medications, water, warm clothing)
Be prepared for the unexpected – flexibility is key to adventure travel!
